Intro
Enterprise Content Management
Enterprise content management, or ECM, is how an organization keeps business content useful and under control from creation to disposition. It connects people, process rules, repositories, metadata, search, security, and retention. It is not a synonym for a shared drive or one product.
The core problem is context. A file can exist in many places, but people still need to know what it is, which version matters, who may use it, how to find it, and what must happen when it is no longer active. ECM makes those decisions repeatable.
AIIM describes ECM as strategies, methods, and tools that capture, manage, store, preserve, and deliver content through its lifecycle. Treat those as capabilities, not a product checklist. A useful design may combine a collaboration platform, a content repository, a workflow engine, a search service, and line-of-business systems.
The lifecycle mental model
Start with a business event. An invoice arrives, a case opens, a contract is executed, or an engineer publishes a procedure. The content enters through capture. It then receives a content type and metadata, moves through a workflow when decisions are needed, and becomes retrievable in the context of the work.
