Don't Panic: Microsoft Exchange Online

Microsoft Exchange Online is Microsoft's hosted service for organizational email, calendars, contacts, and tasks. Microsoft runs the mailbox infrastructure. The organization runs the decisions around it: who gets a mailbox, where the domain receives mail, which messages are trusted, and how long data remains. The server room has been replaced with a tenant configuration. It is less noisy, although the configuration has developed a taste for consequences.

The first useful distinction is recipient versus mailbox. A recipient is anything that can receive a message. A mailbox is also a store for messages. Shared mailboxes, rooms, distribution groups, contacts, and mail users therefore belong in the same address book without behaving alike. This prevents a great deal of administrative confusion that would otherwise arrive dressed as an email problem.

Next comes mail flow, the path a message takes from sender to destination. DNS tells the internet where to deliver the domain. Exchange Online protection, recipient checks, mail flow rules, connectors, and routing then decide what happens before delivery. An Inbox rule acts later, inside a mailbox. That boundary matters because a message marked Delivered has reached the mailbox, not necessarily the folder or client view a person expected. Message trace tells you where Exchange handled it. Rules, quarantine, folders, and clients explain the rest.

The security controls form a small committee with different jobs. DMARC checks whether a passing SPF or DKIM identity aligns with the visible From domain. It does not promise safe content. Filtering can quarantine dangerous mail, but it cannot repair a wrong MX record. TLS protects a connection between mail systems, but it does not turn every message into end-to-end encrypted correspondence. Each control is useful. None is a ceremonial hat that grants the others its powers.

Data has a similarly awkward committee. Retention governs preservation and deletion. Holds preserve content for investigations or legal requirements. Native recovery retrieves eligible deleted items. Backup restores from an independent copy. They overlap, but they do not replace one another. Hybrid deployments add another set of dependencies: synchronization, certificates, connectors, supported servers, and split authority. Use that topology for a real coexistence or on-premises requirement, not because it looks reassuring on a diagram.
